Secretary I - Project ASPIREE - Vincennes, IN

Full-Time

 

Vincennes University is seeking a highly motivated and energetic individual for the position of Secretary I for Project ASPIREE, a federally funded TRIO Talent Search program through Vincennes University. This is a full-time support staff position in External Relations.

 

The position has responsibilities such as:

 

  • Reports to the Project ASPIREE director

  • Provides participants, parents, & other professionals with accurate project information on the telephone, via regular mail and email, in person, texts, and on social media
  • Records, routes, & relays messages when answering project email, mail, and phone.
  • Manages Schedule and Calendars

  • Maintains Confidentiality (FERPA, HIPAA)

  • Enters & updatess participant data, runs reports, etc., using a data base Student Access

  • Assist with hightly efficient & organized office environment, to inclued but not limited to: maintaining office, purchasing office & instructional supplies, photocopying, maintaining inventories, and processing forms

  • Prepares staff travel & reimbursement claims
  • Makes travel arrangements for both staff and student travel
  • Processes, records, and monitors account account expenditures for monthly budget using ledger, Banner, etc.

  • Compiles participant data for reports; takes meeting minutes and distributes to other personnel, prepares letters and forms for project, etc

  • Serves as a liaison with staff, participants, & parents during events
  • Coordinates mailings to schools participants
  • Assists with the preparation of the US Department of Education and project grant

  • Monitors project alumni

  • Attends meetings, in-service training, and other professional development

The successful qualified candidate has:

 

  • Must have an Associate’s degree or Certificate in Secretarial Science with two year’s secretarial work experience and secretarial training
  • Must have excellent oral & written communication skills & be proficient in Microsoft Office & Access. 
  • Knowledge of standard office practices including basic accounting and budget procedures
  • Must pay attention to detail, have the ability to handle multiple projects at one time, prioritize office responsibilities, have the willingness to learn, possess great people skills

  • Must possess the ability to work with individuals who are traditionally underrepresented in postsecondary education (i.e., diverse culture, ethnic, and economical backgrounds) 
  • Be both a self-starter and be able to work on one’s own along with possessing the ability to take directions and work as a collaborative team player

  • Valid driver’s license required

     

Preferred Experience:

Clerk/Typist – Ft. Wayne, IN

Part-time                               

Vincennes University is seeking applicants for the position of Clerk/Typist for Northeast Indiana Early College Programs (Fort Wayne) and East Allen University. This is a part time Support Staff position requiring 28 hours per week for 12 months. This position reports to the Assistant Dean of Instruction at EAU. EAU is an early college partnership between Vincennes University and East Allen County Schools (East Allen University) and Fort Wayne Community Schools (North Side High School).

Essential Duties of this position are:

  • General secretarial duties including obtaining and distributing course syllabi, maintaining a record of curriculum changes, textbook lists, equipment, time sheets, vacation/sick leave records, informational pamphlets, and organizing a calendar of appointments and events.

  • Assisting faculty in obtaining course instructional materials, filing copies of banner grades, grade books, and final tests, and communicating with the appropriate division or office at the Vincennes campus.

  • Assisting the EAU assistant dean in completing and maintaining files for all faculty, including copies of resumes, transcripts, and AFAF forms, coordinating schedules between EAU and VU staff and faculty, registering students for VU classes, obtaining student A numbers, processing drop and add forms, receiving students and parents with inquiries about VU/EAU, maintaining graduation audits and disciplinary action records for all students, and receiving TAPS information and coordinating appropriate actions with the learning coach or dean.

  • A minimum of an Associate degree, preferred. 
  • Effective communication, interpersonal and organizational skills.
  • Prior experience with Word, Excel, Banner and VU computer records and learning systems.

Operations Support – Vincennes, IN

Full-time                   

The Operations Support person is a highly motivated individual who performs day-to-day tasks to support the delivery of 1st level support and production processing services for the Management Information Center’s clients. 

He/she assists the Operations Support Analyst in many of his/her duties and fills in during the Operations Support Analyst or Secretary’s absence. He/she is expected to perform as part of a team, to provide support services and be capable of interacting with the user community in a courteous and professional manor.

This position is responsible for:

  • Assist the MIC secretary with overflow calls and covering in her absence.

  • Contact person for MyVU questions.

  • Provide first level technical assistance to computer system users.Answer questions and/or resolve computer problems for clients in person, via telephone or from remote locations.

  • Provide first level technical support to system users and maintain knowledge base applications.

  • Provide first level technical support for Microsoft Office Applications.

  • Troubleshoot and assist with electronic communications such as; university email, text and mobile communications.

  • Contact person to place all services calls for the entire university owned computers and related equipment. Maintain records of service calls and follow up calls to clients.

  • Provide secondary support for the Operations Support Analyst and Application/Operations Analyst persons as workload warrants.

  • This position assists in the implementation and development of operational procedures and best practices.

  • Willingness to work nights and/or weekends as special situations arise.

  • Employee will be required to attend various employee meetings, training, committees and other special activities as depicted by supervisor. Lifting of computer forms boxes and other equipment is required.

Adult Basic Education Intake Coordinator – Evansville, IN

The ABE/HSE Intake Coordinator is responsible for providing general administrative support to the Adult Basic Education program. The Intake Coordinator works with adult and youth students during the registration and enrollment process.

Assist. Curriculum Development and Records – Vincennes, IN

Full-time                    

Vincennes University’s Office of Curriculum and Instruction is seeking applicants to fill the position of Assistant for Curriculum Development and Records.  This is a full-time, support staff position. This position will assist with duties performed within the Office of Curriculum and Instruction and the Registrar’s Office.

The position involves extensive data entry of curriculum and program data along with some student data entry.  The most qualified person for this position will have above average computer skill and technical ability, will be detail oriented, and will perform work accurately.  The person hired for this position will be required to work directly with staff, faculty, and students in person, by telephone and by email. 

Responsibilities include, but are not limited to, the following:

Office of Curriculum and Instruction responsibilities

  • Assist with Catalog and Curriculum revisions and other work related to curriculum, using multiple systems and University software.

  • Assist with organizing and preparing Curriculum documents for review.

  • Assist with maintaining a course inventory listing and providing annual summaries to academic units.

  • Assist with maintaining the student information system (Banner) regarding catalog information such as course descriptions, course requirements, and curriculum structure.

  • Assist with the review and maintenance of Curriculum and Academic Affairs minutes and various annual reports.

  • Assist with other Curriculum and Instruction office duties as needed.

 

Registrar’s Office responsibilities

 

  • Enter and update student data.

  • Assist with the following: graduation audits, document imaging, maintenance of student academic files, and evaluation of transfer credit from other universities.

 

Successful candidates will have:

 

  • An associate degree is required; a baccalaureate degree is preferred.

  • Prior experience with data entry on student information systems

  • Knowledge of the University operations and experience in an academic environment are preferred.

  • Excellent oral and written communication skills

  • Ability to handle a heavy workload in a fast-paced office environment

Office Coordinator– Vincennes, IN

Vincennes University is seeking a highly motivated and energetic individual for the position of Office Coordinator for Vincennes University’s dual credit program, Project EXCEL. This is a 12-month, support staff position.

The position involves extensive data entry and tracking. The person hired for this position will be required to work directly with all internal and external Project EXCEL stakeholders in person, by telephone, and by email. 

This position is responsible for:

  • Oversee all administrative and tracking tasks related to the faculty approval process.

  • Oversee and maintain the Project EXCEL database, tracking charts, and email lists.

  • Maintain Project EXCEL instructor and faculty liaison files and related documentation.

  • Assist with all aspects of the Project EXCEL student registration process.

  • Oversight and tracking of Project EXCEL Memorandums of Understanding (MOU).

  • Reserve VU vehicles, hotel accommodations, and process travel vouchers, as requested, for faculty liaisons and instructors.

  • Other duties, as assigned.

The successful candidate has:

  • A minimum of a high school diploma is required, associate degree preferred.

Library Clerk – Vincennes, IN

Part-time                     

Vincennes University is seeking applicants for Library Clerk. This is a part-time support staff position located in the Shake Learning Resources Center (SLRC).

The SLRC Part-Time Library Clerks report directly to the Public Services Librarian. If the Public Services Librarian is absent for a lengthy period of time, one of the other librarians will serve as a temporary liaison and supervising officer. Some supervision may also come from the Full-time Public Services Assistants. General supervision is exercised by the Dean of Shake Learning Resources Center.

Staff members in the Public Services Department should expect to work in a cooperative team environment. Innovative ideas and suggestions to improve procedures are encouraged to be discussed with the Public Services Librarian as the LRC is continually evolving to maintain its important role in the academic careers of Vincennes University students, and its role in the Vincennes community.

Hours

Shake Learning Resources Center is open 99.5 hours per week, so Part-time Public Services staff are often scheduled to assist full-time staff during evening and weekend hours, sometimes until midnight. Part-time staff members are often called upon to also assist during times of staff illness or vacations. A regular schedule is set every semester but extra hours may be scheduled as needed.  

This position is responsible for:

  • Checking in and checking out library items, searching shelves for overdue or lost materials, and assisting new patrons in obtaining a community card.
  • Provide excellent customer service to all of our library patrons including faculty, students, staff, and Vincennes Community Members over the phone and in person.
  • Track all of the interactions that you have at the circulation desk to assist in the keeping of accurate statistics.
  • Performs daily tasks such as straightening the desk area, putting reserves in order, dusting, adding paper to machines, etc.
  • May have specific assignments, such as, processing reserve items or assisting with daily ILL transactions.
  • In the absence of the Public Services Assistants, may advise student workers of tasks needing to be done.
  • Assists patrons in the use of such Shake Learning Resources Center equipment such as the photocopiers, scanners, and printers.
  • Assists patrons in directional information but directs reference questions to the Librarians.
  • Helps maintain the security of the facility by helping unlock classrooms for scheduled classes and ensuring they are re-locked once the class leaves.
  • Will assume other duties as assigned by the Public Services Librarian and/or the Dean.

Successful candidates will have:

  • High School Diploma or GED, required.
  • Must be comfortable working with computers and learning how to use new technology.

Volunteer Coordinator (Generations) – Vincennes, IN

Part-Time                   

Vincennes University is seeking applicants for the position of Volunteer Coordinator for Generations. This part-time, support staff position reports to the Healthy Aging Program Coordinator.

This position is responsible for:

  • Responsible for volunteer coordination of volunteer services within Generations’ service area. 
  • Processes applications and provides orientation to volunteers.  Responsible for training volunteers on program expectations, liability issues and resources available.
  • Responsible for recruiting volunteers for the Volunteer Center by communicating with service organizations, churches, school groups, etc. 
  • Responsible for creating public awareness of the program within their county. 
  • Maintains communication with the volunteers as needed.
  • Assists with long-range planning for development and expansion of programs.
  • Develops and maintains contact list for volunteer recruitment and community resources.
  • Develops and maintains a list of volunteers willing to do one-time projects or those who possess special talents (i.e. AngelCorps).
  • Collects completed hour reports for the volunteer program.
  • Provides publicity for the Volunteer Center through as outlined in the Generations Marketing Plan.
  • Assists with the planning of special events as needed.
  • Plans and coordinates annual volunteer recognition.
  • Attends related meetings as scheduled by the Director of Planning and Community Development.
  • Adhere to the Generations Code of Ethics.
  • Maintain confidentiality at all times.
  • Potentially work during non-business hours, weather closure days or a Vincennes University holiday.
  • Coordinate with and provide assistance to other Generations staff as appropriate and perform other duties as assigned.

  • High School Diploma or G.E.D. required, Associated Degree preferred
  • Two years of previous experience in a responsible clerical position in an institutional, commercial or industrial office environment.  Related skills in a combination of the following areas:  data entry & work process, filing, time management & problem solving.
  • Must have excellent written communication skills as well as verbal communication skills both in person and over the phone

Student Support Services Professional Tutor – Vincennes, IN

Part-time                     

Vincennes University is seeking applicants for the position of Student Support Services Professional Tutor. This is a part-time Support Staff position.

Student Support Services is a federally funded TRIO program which provides academic assistance and non-cognitive strategies to qualifying college students in all aspects of the college experience, with a goal to assist with retention, graduation, and transfer to four-year degree programs.

Work Hours will vary dependent upon Professional Tutor’s schedule. The Open Tutoring Labs are available to students Monday through Friday between 8 am and 5 pm. A part-time VU staff member may only work a maximum of 28 hours per week; no matter how many different departments the staff member works.

This position is responsible for:

  • Competency in tutoring subjects

  • Attends tutor orientation and training

  • Documents the tutoring sessions in the student’s tutoring file

  • Monitors and assesses the student’s progress in classes

  • Reports no-shows for tutoring to SSS Educational Coaches and Director

  • Documents bi-weekly timesheets

  • Maintains FERPA, HIPAA

  • Work as a collaborative team member

  • Reports to the SSS Director

Successful candidates will have:

  • Bachelor’s Degree required, Master’s preferred in education, math, or science

  • Ability to work with underrepresented students (i.e., diverse culture, ethnic, and economical background, students with disabilities)

Experience:

  • Deliver a full range of academic advising services to all military students interested in enrolling in Vincennes University’s growing Military Education Program and or Distance Education Program offerings.  The advising workload will include advising hundreds of students each term.

This position is responsible for:

  • Conduct formal advising sessions with current and prospective students while advising on major course of study, degree requirements, and appropriate course delivery method.
  • Interpret, apply, and abide by the Federal Education Rights and Privacy Act (FERPA) and parental confidentiality issues.   
  • Evaluate and articulate data accurately concerning students, faculty and administrators.
  • Apply an accurate knowledge of a wide range of University courses utilized in over 28 programs, and academic standards and requirements to benefit students and the University.  
  • Develop degree plans for deployed and deployable military service members using critical thinking skills and working independently.
  • Coach, challenge and encourage learners through disruptive life events and obstacles through discussion of options to support student success.

Part-Time CDL Instructor - VU LTEC Plainfield, IN

Vincennes University is seeking applicant for CDL Instructor. This is a part-time, non-exempt support staff position located in Plainfield, Indiana.

JOB SUMMARY

This position is responsible for instructing CDL Class B training at Vincennes University Logistics Training and Education Center’s (VU LTEC) CDL program. The instructor must have a minimum of three years’ experience driving CDL Class A (preferred) or B tractor-trailers. Previous teaching/training experience preferred.

ORGANIZATIONAL RELATIONSHIPS

This position will report to the CDL Coordinator at VU LTEC. This individual will interact with students, faculty, and Vincennes University administrative offices.

PRIMARY DUTIES (may include, but not limited to the following):

• Conduct CDL Class B training in accordance with the VU curriculum and the Indiana Bureau of Motor Vehicles guidelines

• Maintain all paperwork and reporting data for BMV license requirements and PTDI program certification

• Be a contributing member of the VU LTEC CDL Team to offer feedback and suggestions to improve program delivery

• Maintain safety as the number one priority for all students and staff

• Assist with the instruction (classroom, backing, road driving) of CDL Class A courses, as necessary

• Other duties as assigned

OTHER REQUIREMENTS

• Receive Indiana BMV instructor license by completing Indiana BMV Instructor application and background check

• Adhere to Vincennes University’s Instructor Policies (available upon request)

• Adhere to general employee policies found in the Vincennes University Online Manual

• Responsible for accurate time tracking and reporting of duties performed

• Be available and on-time to conduct training as scheduled by VU LTEC

• Current Department of Transportation physical; ability to pass drug screen

• Present knowledge on all State and Federal (FMCSA) regulations

• Working knowledge of CDL training/testing requirements

• Must meet VU’s basic instructor qualifications and skills

• Have a high school diploma or GED, some college preferred

• Applicants should have successful experience in overseeing simultaneous projects with minimal supervision

• Ability to work with a broad range of stakeholders, including faculty, students, staff, industry employers, and the public workforce system
