Vincennes University is seeking a highly motivated and energetic individual for the position of Secretary II for the Aviation Technology Center in Indianapolis. This is a full-time support staff position.

 

The position has responsibilities such as:

 

  • Admission Process – Maintain web applications and send supporting documents to Registrar's office.

  • MUST be able to maintain confidentiality for FERPA reasons

  • Report weekly application information to VU personnel

  • Correspondence and problem solving as needed for staff, students, etc. all through memos, e-mails, fax, phone, etc.)

  • Data Entry - Input drop/add, grade change forms, grades, address changes, application info, etc.

  • Initial Registration- (inputting if it can’t be done by instructors, etc.)

  • Inputting of class schedules – Aviation Maintenance & Flight, General Education; updates/deletions of faculty.
  • Assign and Maintain advisors list

  • Assist Advisors with Petitions to Graduate

  • Distribute class list/roster and keep quarterly updates

  • Answer multiple lines on phones

  • Maintain facility calendar

  • Assist with orientation/graduation as assigned

  • Assist with other office projects and personnel as needed

  • Assist School Certifying Official with registration/attendance/billing for military students.

  • General office duties, such as organizing and keeping area and supplies neat.

Clerk/Typist (Northeast Indiana/East Allen University) Ft. Wayne, IN

Vincennes University invites applications for the position of Clerk Typist for Northeast Indiana Early College Programs (Fort Wayne) and East Allen University. This is a part time Support Staff position requiring 28 hours per week for 12 months without benefits. EAU is an early college partnership between Vincennes University and East Allen County Schools (East Allen University) and Fort Wayne Community Schools (North Side High School). This position reports to the Assistant Dean of Instruction at EAU.

Responsibilities for this position include:

  • General secretarial duties including obtaining and distributing course syllabi, maintaining a record of curriculum changes, textbook lists, equipment, time sheets, vacation/sick leave records, informational pamphlets, and organizing a calendar of appointments and events;

  • Assisting faculty in obtaining course instructional materials, filing copies of banner grades, grade books, final tests, and communicating with the appropriate division or office at the Vincennes campus;

  • Assisting the ACCU Assistant Dean in completing and maintaining files for all faculty, including copies of resumes, transcripts, and AFAF forms, coordinating schedules between ACCU and VU staff and faculty, registering students for VU classes, obtaining student A numbers, processing drop and add forms, receiving students and parents with inquiries about VU/ACCU, maintaining graduation audits and disciplinary action records for all students, and receiving TAPS informationand coordinating appropriate actions with the learning coach or dean.

Secretary II (President’s Office) – Vincennes, IN

Full-Time                  

Vincennes University is seeking applicants for the position of Secretary II in the President’s office. This full-time, support staff position.

The Secretary to the President assists in keeping the President and his office operating at a high level of efficiency and competency.  The Secretary to the President will do this by maintaining an organized and effective workplace where the President is able to make difficult and critical decisions affecting the university.  He/She will also provide invaluable support to both the Administrative Assistant to the President and the President by acting as receptionist to the President’s Office area by screening and troubleshooting calls and visits from the VU community, assisting with the handling of correspondence and speeches by the President, and managing general areas of the office.  He/She must also maintain confidentiality.

This position is responsible for:

  • Answering, screening, and troubleshooting telephone calls and visits to the President’s Office.Must have excellent interpersonal skills.

  • Assist with the correspondence coming into and going out of the President’s Office.This would include the production of bulk mailings as needed.This may include transcribing from a digital recorder, composing letters, and responding via email.

  • Assist with the preparation of the President’s speeches, reports, and miscellaneous typing.

  • Make all arrangements for President’s Advisory Committee meetings, which are held 5-6 times during the academic year.In addition, the individual would be responsible for attending these meetings and taking minutes.

  • Make all arrangements for the Opening Meeting of the University, which is held in August, just prior to the start of the Fall Semester.

  • Be available to make arrangements, attend, and take minutes for meetings chaired and/or attended by the President, as needed.

  • Assist the Administrative Assistant to the President in distributing United Way materials to all employees and help maintain records of employees’ contributions.

  • Make all arrangements for Summer and Christmas Holiday parties.Check with the Administrative Assistant to the President regarding the budget for these two activities.

  • Open all mail and give to Administrative Assistant for processing & distribution.

  • Purchase all office supplies for the President’s Office.Purchase soda, coffee, and kitchen supplies for all meetings in the administrative wing.

  • Take monthly meter readings of copier machine.

  • Coordinate usage of Board Room.

  • Coordinate and organize the campus-wide Christmas Families project.This will also include working with social workers of the Vincennes community schools.Meetings off campus with the social workers may be required.

  • Supervise the annual Christmas card mailing & e-card distribution, which includes the updating and maintenance of the mailing list & database of email addresses.This will include working directly with External Relations personnel, as well as faculty and students who will occasionally be involved with the design of the card & the e-card video.

  • Assist the Administrative Assistant to the President in maintaining all files in the President’s Office.

  • Along with the Administrative Assistant to the President, participate in the supervision of scholarship and work study students working in the President’s Office.The Secretary to the President will also participate in assigning projects to the work study students.

  • Be prepared to provide assistance to the Administrative Assistant to the President as required.

  • Be available to take and prepare minutes of Board of Trustees’ meetings when the Record Clerk for the Board is not available.

  • In the absence of the Administrative Assistant to the President, be available to handle his/her duties as needed.

  • In order to attain overall success and continuity in the President’s Office, there will be opportunities to participate in cross training of duties by both the Secretary to the President and the Administrative Assistant to the President.

Successful candidates will have:

 

  • Associate Degree, preferred

  • At least three years of office experience is required and shall include a knowledge of computers, Microsoft Office software (spreadsheets, word processing, and databases), and standard office equipment.

  • Individual should possess a keyboarding rate of at least 60 WPM.

  • Computer application skills in the use of personal computers are required and should include a working knowledge of word processing, spreadsheets, data entry and retrieval, and database management.

Student Success Assistant – Jasper, IN

Vincennes University Jasper is seeking applicants for the position of Student Success Assistant. Reporting to the Jasper Student Success Center Director, the Success Assistant will work with students to improve persistence and completion by providing mentoring and advising: Career and Technical Education guidance is an essential component of the job along with strategies to assist students at-risk.

The Student Success Center helps undecided students identify reasonable pathways to graduation and employment. Beyond serving undecided and at-risk students, the Success Assistant will help first-year students who seek a change of major. 

This is a part-time, 12-month support staff position beginning Summer 2018.

The Student Success Assistant will manage a caseload of students with specific goals toward retention and degree completion. 

Successful candidates will have:

  • Associate’s degree, or some college education; Bachelor’s degree is preferred

Coach/Mentor (Experience VU) – Vincennes, IN

Part-Time                   

Vincennes University is seeking applicants for the position Coach/Mentor for Experience VU. This is a part-time support staff position.

Primary Function:

To provide coaching and mentoring to the Experience VU participants, as well as coordinating tutoring

This position is responsible for:

  • Coaches, monitors, and maintains accurate student services records
  • Coordinates services with campus and community services
  • Proficient computer skills (e.g., Microsoft Word and Excel, Banner) and ability to complete data for reports accurately
  • Analyzes TAPS report, coaches, and mentor’s students in need of strategies/services to enhance their academic success
  • Demonstrates competency tutoring subjects
  • Completes data for annual performance report
  • Understands ADA, Section 504 federal laws
  • Maintains FERPA, HIPAA
  • Works as a collaborative team member
  • Works some evenings for workshops, field trips, etc.
  • Works some Saturdays for Pre-VU and START VU days
  • Reports to the SSS Director

Successful candidates will have:

  • Bachelor’s Degree required,

Work Hours will vary dependent upon Coach/Mentor’s schedule. The Experience VU Student Support Services Disability office hours are typically Monday through Friday between 8:00 a.m. and 4:30 p.m. Pre-VU and START VU Saturdays are from 8:00 a.m. at the Student Union and conducting potential participant interviews until 4:30 pm.

A part-time VU staff member may only work a maximum of 28 hours per week; no matter how many different departments the staff member works.

Vincennes University is seeking applicants for a Professional Tutor/Mentor in Student Support Services.

The Professional Tutor and Mentor will facilitate academic, life skills coaching, and non-cognitive (i.e., executive function, study, and social skills) strategies that will enhance the progress of the Program participants’ retention and graduation through strategic guided learning, modeling, role-playing, and self-regulation.

This position is responsible for the following:

Secretary I (Provost) – Vincennes, IN

Vincennes University is seeking applicants for a Permanent, Part-Time Secretary in the Provost’s Office.

This position is responsible for:

  • Maintaining calendar and scheduling appointments and meetings for the Provost

  • Maintaining and updating the Adjunct Faculty spreadsheet and Banner for all adjunct faculty files (approximately 2,000); including terminating faculty when necessary and updating the archive files

  • Assisting the Administrative Assistant with processes related to the following: faculty load files on Banner, new hire paperwork for Instructional Services, payroll, load reports, updating faculty files in compliance with University and Higher Learning Commission (HLC) standards

  • Processing payment of invoices for any ongoing searches for all full time faculty positions and professional staff within the Instructional Services area

Lab Assistant (SEM) – Vincennes, IN

Full-Time                        

 

Vincennes University is seeking applicants for Lab Assistant in Science, Engineering, and Math (SEM) Labs. This is a full-time, support staff position.

 

This job requires a strong math-based education that lends itself to tutoring students in a wide variety of math levels:  developmental math, business math, college algebra, trigonometry, and calculus.  Special consideration will be given to the candidate who has experience in science and or engineering.  Tutoring experience is required.  The ability to oversee student tutors and ensure a productive and safe environment is a large part of this position.

This position is responsible for:

  • Tutoring

  • Tutor students in math

  • Assist students with homework systems including Blackboard, SmartWork (Norton), WebAssign, Connect (McGraw-Hill), and MyLab and Mastering (Pearson)

  • Help students use Microsoft Office including Word, Excel, and Powerpoint

  • Maintain records of tutoring sessions

  • Testing

  • Administer and monitor tests, quizzes, and proficiencies

  • Maintain records of testing

  • Student workers

    • Work with the supervisor to oversee and train student workers

Maintenance Associate/Mechanic – Vincennes, IN

Full-time                        

Vincennes University is seeking applicants for an Maintenance Associate/Mechanic. This is a full-time, support staff position reporting to the Director of the Physical Plant.

Responsible for the preventative maintenance and repair of all University owned vehicles. The Mechanic Maintenance Associate is also responsible for the maintenance and upkeep of all landscape/lawn care equipment.

This position is responsible for:

  • Troubleshoot and repair of gasoline and diesel engines, small engines, 2 and 4 cycle, all types of passenger and work vehicles, loaders, lawn mowers, trimmers, blowers, sweepers, etc equipment.
  • Able to do all phases of automotive and bus repair (breaks, axle repair, engines, fuel systems, cooling, A/C and electrical) etc. Minor transmission repair, welding & cutting, fabrication.
  • Tractor and mower repairs (hydraulics, U-joints repairs, belts, blade, oil changes, minor welding repairs etc.)
  • Preventive maintenance on motor pool fleet, Physical Plant, and all University owned vehicles on the main campus and equipment.
  • Will operate and repair snow removal and assist with snow removal as needed.
  • Will operate and repair lawn maintenance equipment and assist with all phases of grounds duties as needed.
  • Other duties within the Physical Plant as assigned.

The successful candidate has:

  • Two years documented experience in grounds equipment and automotive/truck repair in the institutional, industrial, or commercial environment. Other related experience will be considered.

  • Possess a Class B CDL with passenger endorsement or be able to acquire one within 90 days of hire.

  • Provide instructions to assistants and assist with training of new co-workers.

  • Ability to work independently or as part of a crew.

  • Understand and follow all safety procedures and use of safety equipment.

  • Ability to organize and maintain work station/area.

  • Maintain a positive working relations with co-workers, faculty, and staff, students and the general public; will/can be required to work as a member of an assigned crew on large projects.

  • Able to utilize diagnostic equipment to troubleshoot equipment problems and electronics.

  • Available to work after hours when deemed necessary by the supervisor. Requires to work on snow removal crew and on a weekend rotation with other members of the Grounds Dept.

  • Regular attendance and punctuality is required for this position; actual schedule contingent upon the needs of the department and Vincennes University.

Physical Demands:

  • Bending and lifting up to 50 lbs.

  • Work both indoors and outdoors, occasionally in inclement weather; and varying hours as required by weather conditions.

Library Clerk – Vincennes, IN

Part-time                     

Vincennes University is seeking applicants for Library Clerk. This is a part-time support staff position located in the Shake Learning Resources Center (SLRC).

The SLRC Part-Time Library Clerks report directly to the Public Services Librarian. If the Public Services Librarian is absent for a lengthy period of time, one of the other librarians will serve as a temporary liaison and supervising officer. Some supervision may also come from the Full-time Public Services Assistants. General supervision is exercised by the Dean of Shake Learning Resources Center.

Staff members in the Public Services Department should expect to work in a cooperative team environment. Innovative ideas and suggestions to improve procedures are encouraged to be discussed with the Public Services Librarian as the LRC is continually evolving to maintain its important role in the academic careers of Vincennes University students, and its role in the Vincennes community.

Hours

Shake Learning Resources Center is open 99.5 hours per week, so Part-time Public Services staff are often scheduled to assist full-time staff during evening and weekend hours, sometimes until midnight. Part-time staff members are often called upon to also assist during times of staff illness or vacations. A regular schedule is set every semester but extra hours may be scheduled as needed.  

This position is responsible for:

  • Checking in and checking out library items, searching shelves for overdue or lost materials, and assisting new patrons in obtaining a community card.
  • Provide excellent customer service to all of our library patrons including faculty, students, staff, and Vincennes Community Members over the phone and in person.
  • Track all of the interactions that you have at the circulation desk to assist in the keeping of accurate statistics.
  • Performs daily tasks such as straightening the desk area, putting reserves in order, dusting, adding paper to machines, etc.
  • May have specific assignments, such as, processing reserve items or assisting with daily ILL transactions.
  • In the absence of the Public Services Assistants, may advise student workers of tasks needing to be done.
  • Assists patrons in the use of such Shake Learning Resources Center equipment such as the photocopiers, scanners, and printers.
  • Assists patrons in directional information but directs reference questions to the Librarians.
  • Helps maintain the security of the facility by helping unlock classrooms for scheduled classes and ensuring they are re-locked once the class leaves.
  • Will assume other duties as assigned by the Public Services Librarian and/or the Dean.

  • Must be comfortable working with computers and learning how to use new technology.

Vincennes University’s Office of Curriculum and Instruction is seeking applicants to fill the position of Assistant for Curriculum Development and Records.  This is a full-time, support staff position. This position will assist with duties performed within the Office of Curriculum and Instruction and the Registrar’s Office.

Registrar’s Office responsibilities

  • Enter and update student data.
  • Assist with the following: graduation audits, document imaging, maintenance of student academic files, and evaluation of transfer credit from other universities.

Part-Time CDL Instructor - VU LTEC Plainfield, IN

JOB SUMMARY

This position is responsible for instructing CDL Class B training at Vincennes University Logistics Training and Education Center’s (VU LTEC) CDL program. The instructor must have a minimum of three years’ experience driving CDL Class A (preferred) or B tractor-trailers. Previous teaching/training experience preferred.

ORGANIZATIONAL RELATIONSHIPS

This position will report to the CDL Coordinator at VU LTEC. This individual will interact with students, faculty, and Vincennes University administrative offices.

PRIMARY DUTIES (may include, but not limited to the following):

• Conduct CDL Class B training in accordance with the VU curriculum and the Indiana Bureau of Motor Vehicles guidelines

• Maintain all paperwork and reporting data for BMV license requirements and PTDI program certification

• Be a contributing member of the VU LTEC CDL Team to offer feedback and suggestions to improve program delivery

• Maintain safety as the number one priority for all students and staff

• Assist with the instruction (classroom, backing, road driving) of CDL Class A courses, as necessary

• Other duties as assigned

OTHER REQUIREMENTS

• Receive Indiana BMV instructor license by completing Indiana BMV Instructor application and background check
